A capsule house purchase order acknowledgment should make differences visible before production activity proceeds. The buyer can compare the issued order, the supplier’s acknowledgment and every referenced approved document, then route exceptions to the person with contractual authority.
This control does not replace the signed agreement, legal review or technical approval. Do not treat silence, a checklist tick or an informal message as acceptance unless the governing contract expressly says so.
Freeze the Comparison Set
Record the purchase order number, revision, issue date and authorized issuer. Identify the supplier acknowledgment by its number and date. Attach or link only the exact drawings, schedules, quotations and clarifications cited by those records. A comparison made against an obsolete attachment can hide a real discrepancy.

Separate Acknowledgment from Approval
Acknowledging receipt only shows that a record arrived when that is what the acknowledgment states. Technical submittals, commercial exceptions and contract amendments need their own authorized decisions. Keep those statuses separate so a procurement administrator does not accidentally approve a design or waive an exception.
The supplier submittal register can track technical submissions. Use the design change log when an approved baseline may change.
Record Every Exception
For each mismatch, record the source wording, affected field, owner, due date and temporary hold point. Preserve the supplier’s original response and the authorized disposition. Avoid rewriting a supplier exception into neutral wording that removes its commercial or technical significance.
Release Only the Controlled Baseline
Before the order moves forward, confirm that the current acknowledgment and approved attachments are available to the relevant teams. Record unresolved items as open; do not mark the package complete to meet an internal deadline. Recheck the acknowledgment whenever an authorized order revision is issued.
