A resort guest request log should show what the guest asked for, when and through which channel it arrived, the unit or booking reference needed to act, the current owner, agreed update, handoff history, escalation and closure. It should help staff continue service across shifts without collecting unnecessary personal information.
The operator must define actual services, response priorities, authorization, privacy controls and local requirements. A log does not create a service promise or prove that a request was fulfilled to the guest’s satisfaction.
Record the Request in Neutral Language
Capture the guest’s practical need, relevant location, time and preferred contact route. Separate confirmed facts from assumptions. Avoid copying sensitive conversations into a broadly accessible operations sheet.
The guest communication plan can define approved channels and message ownership.
Assign One Current Owner
Every open request should have one responsible role or person and a clear next action. Supporting departments can be listed, but shared ownership without a named lead often creates missed handoffs.

Control Shift Handoffs
Review all open requests before the outgoing shift ends. The incoming owner should acknowledge the status, latest guest message, dependencies and next action. Do not mark a request closed simply because it moved to another department.
Separate Assistance and Incidents
Route individual assistance needs through the process supported by the accessibility information checklist. Escalate safety, security or service disruption through the incident recovery log instead of overloading the routine request record.
Close and Review the Record
Record the completed action, final update and unresolved limitation. Keep personal information to the minimum required, restrict access and follow the property’s approved retention rules. Repeated requests may reveal an instruction or maintenance gap; review patterns without exposing guest identity.
