Warranty Claim Evidence

A capsule house warranty claim should begin with a controlled factual record: the exact unit, applicable agreement, issue timeline, operating context, photographs, immediate protective actions and any previous work. Clear evidence helps the supplier identify what needs review without assuming that an observed condition is covered.

The signed sales contract and warranty terms govern coverage, exclusions, notice, remedies and responsibilities. This checklist does not promise a result or describe Rovellc policy. Do not delay urgent safety action while collecting claim information.

Identify the Unit and Agreement

Record the order or contract reference, buyer, delivery location, model, configuration, unit identifier, commissioning or handover date where applicable, and the documents believed to govern the request. Use the final installed configuration rather than a generic brochure.

Attach the relevant agreement section without rewriting it. If several suppliers or contractors worked on the project, separate product supply, transport, storage, foundations, utilities, installation and operation responsibilities.

Create a Factual Issue Timeline

State when the condition was first observed, who observed it, the unit operating state, recent weather or site events where relevant, and how the issue changed. Record dates for notifications, inspections, temporary controls and responses.

Use neutral descriptions. “Water visible below the window after rainfall” is more useful than an unsupported diagnosis. Qualified parties should determine technical causes.

Preserve Useful Visual Evidence

Provide an overview that identifies the unit and location, followed by closer images of the condition. Include a scale only when safe and meaningful. Preserve original files and capture dates; do not edit images in a way that removes context.

Photograph labels, component identifiers and nearby interfaces where relevant. Explain areas that were inaccessible. Avoid dismantling assemblies unless authorized and completed by competent personnel.

Add Operating and Maintenance Context

Include relevant cleaning, inspection, maintenance and service records. The maintenance checklist shows how to record visible conditions and escalation without asking operators to diagnose faults.

If an item was replaced, link it to the spare-parts register. Record the removed and installed item identities, technician, date and reason for work.

Protect the Unit Without Destroying Evidence

Take reasonable actions required by the agreement, approved procedures and competent advice to protect people and limit further damage. Record what was isolated, covered, restricted or moved and who authorized the action.

Do not continue operation solely to demonstrate the issue. Do not perform a permanent repair before the required review unless urgent circumstances and applicable responsibilities require it.

Send One Controlled Claim Package

Compile a cover summary, identity records, relevant terms, timeline, images, maintenance history, previous communications and requested next step. Keep personal information to the minimum required. Number later additions instead of silently replacing the original package.
