Delivery Appointment

Delivery Appointment

A capsule house delivery appointment should be released only after the shipment, carrier, route status, site access, unloading area, receiving team and contingency contacts are aligned. A calendar invitation alone does not show that the site can safely receive the actual unit.

The carrier, lifting provider and site team must define the project-specific transport and unloading controls. This sheet coordinates their confirmations; it does not select equipment, approve a route or replace a lift plan.

Identify the Exact Shipment

Record order, unit and package identifiers, transport condition, carrier reference, expected vehicle and the current packing record. Link loose accessories and separately shipped items to the same appointment.

Use the packing-list reconciliation checklist to connect package identities with the ordered scope.

Confirm Site Readiness Before Dispatch

Name the person authorized to confirm that access, unloading space, foundations or supports, utilities, temporary works and site controls are ready for the planned stage. Set a confirmation deadline before dispatch and record any hold point.

Define Arrival Communications

Give the driver and site team one current contact route. Record when travel updates are expected and who can authorize entry, unloading or delay. Avoid issuing conflicting directions through several messaging groups.

Keep Inspection Separate From Unloading

Plan how documents and visible condition will be checked without placing people in an unsafe work area or delaying technical operations. The receiving inspection record supports consistent evidence after arrival.

Prepare for Delay or Refusal

Record safe waiting, rescheduling and escalation arrangements before the vehicle arrives. Do not pressure the team to proceed when access, weather, ground, equipment or documentation does not meet the responsible provider’s requirements.

Close the Appointment Record

After delivery, record actual arrival and release times, the shipment and unit identities received, responsible representatives, document references and any deviation from the plan. Link delivery damage or shortages to the receiving record instead of describing them only in informal messages.

If the appointment was aborted or delayed, record the confirmed reason, protective action, current location of the shipment, next decision owner and rescheduling conditions. Keep carrier, site and supplier records aligned so a revised appointment does not inherit an outdated route, contact or readiness confirmation.
