21 Oct Equipment Handoff
A capsule office shared equipment custody handoff records the asset identity, visible condition, included accessories, recipient, permitted use, expected return and unresolved exceptions. It prevents responsibility from becoming ambiguous when equipment moves between rooms, teams or shifts.
This handoff is not asset valuation, security, privacy or technical advice. Apply the organization’s verified asset, access, data and acceptable-use procedures.
Identify the Asset and Scope
Use the organization’s asset identifier where available. Record the equipment type, current location, accessories, approved recipient and purpose without placing passwords or sensitive data in the general handoff.
Build the Custody Handoff
| Field | Record | Control question |
|---|---|---|
| Asset | Identifier, type and location | Is it unambiguous? |
| Condition | Visible state and existing exception | Is observation factual? |
| Accessories | Cable, control, case or adapter | Is the set complete? |
| Custody | Issuer, recipient and time | Was receipt acknowledged? |
| Return | Due time, receiver and exception | Was custody closed? |
Keep Sensitive Data Out of the Log
Do not record passwords, access tokens or unnecessary personal information. Use approved secure channels for credentials and follow the organization’s data-handling rules when equipment stores information.
Close Returns and Exceptions
At return, record the receiving role, time, visible condition and missing items. Route faults or damage through the separate exception process instead of diagnosing them in the custody record.
Use the equipment exception log for unresolved conditions and the opening and closing checklist for daily controls. To discuss capsule office workflow, contact Rovellc.
