21 Sep Visitor Access Handoff
A capsule office visitor access handoff log connects reception, the host and the person responsible for closing access. It should show that a visit was authorized, the host accepted responsibility, the access boundary was understood and any temporary credential was returned or closed.
The log does not guarantee security or privacy compliance. The organization must define lawful data collection, retention, identity checks, accessibility arrangements and emergency procedures for its site and jurisdiction.
Define Roles Before Arrival
Name the person who can authorize a visit, the host, reception or access administrator and the escalation contact. Avoid asking front-desk staff to interpret exceptions without a documented authority route.
Record the Minimum Handoff
| Stage | Record | Control question |
|---|---|---|
| Authorization | Approved visit reference and host | Is the visit expected? |
| Arrival | Time and permitted verification status | Was policy followed? |
| Boundary | Approved area, escort and time limit | Is access limited as intended? |
| Credential | Temporary pass reference and issuer | Can closure be confirmed? |
| Departure | Time, returned item and open exception | Is the visit closed? |
Protect Personal Information
Collect only the information allowed by the verified site policy and applicable requirements. Limit access to the record, define retention and avoid copying identity documents unless there is a lawful, approved need. Do not include sensitive meeting content in the access log.
Close Exceptions at Departure
Record a missing credential, changed host or extended visit as an exception with an owner. If closure cannot be confirmed, use the approved escalation process rather than silently completing the record.
