Handover Checklist

A capsule house handover documents checklist should be agreed before the order is finalized, not assembled from whatever files happen to arrive at the end. The owner should define the required deliverables, the exact unit and revision each file covers, the delivery stage, the review owner, and what will count as an acceptable submission.

There is no universal document package for every project. Intended use, configuration, destination, local review, contract scope, utilities, installation responsibilities, and included equipment all affect the list. Treat the sections below as a scoping framework and convert them into contract requirements for the actual project.

Start With a Controlled Deliverables Register

Create one register before manufacturing or detailed coordination begins. Give every requested item a document number or clear name, responsible party, required format, planned issue date, review status, revision, and final recipient. Mark whether the item is required for review, construction coordination, shipment, installation, commissioning, operation, or record purposes.

A shared register makes missing information visible. It also prevents an early sales drawing, a later production drawing, and a final record drawing from being treated as interchangeable. The owner should specify who may accept a document and how comments, superseded files, and resubmissions will be recorded.

Identify the Exact Product and Configuration

The handover package should identify the supplied model, unit identifiers, quantity, approved configuration, options, installed equipment, finish selections, and agreed deviations. Where several unit types are included, the register should show which documents apply to each type and which are common.

Do not accept a generic brochure as the only configuration record. Ask for a clear schedule or approved drawing that connects each owner asset identifier to the delivered unit. If serial numbers or equipment identifiers are part of the agreed scope, record them against the correct unit rather than in an unstructured photo folder.

Define Drawing and Interface Deliverables

Depending on the contract, the owner may require general arrangement drawings, dimensions, weights, support-point information, lifting or handling information, utility connection locations, equipment layouts, access zones, and interface details. The project team should state the required scale, units, file format, language, and revision status.

Foundation, utility, access, and local works normally require coordination between multiple parties. The handover register should distinguish supplier information from locally designed work. A supplier interface drawing is not automatically a foundation design, permit drawing, or local professional approval.

Request Applicable Technical Records

List the material descriptions, component schedules, product data, test records, certificates, declarations, inspection records, or quality documents that the project actually requires. For every record, ask which model, component, configuration, manufacturing location, issue date, and scope it covers.

A document title alone is not proof that it applies to the delivered unit. The reviewer should check the issuing organization, reference number, date, limitations, referenced standards, and relationship to the purchased configuration. Local professionals or authorities determine whether a record satisfies a local submission or approval requirement.

Capture Shipping, Receipt, and Installation Information

If included in the supply scope, define deliverables for packing lists, package identification, dimensions and weights, handling marks, lifting points, storage conditions, damage-reporting procedures, shipment documents, and receipt inspection. Align the requested records with the responsibility matrix in the purchase agreement.

Installation documents may include sequences, temporary protection, connection interfaces, allowable handling methods, equipment instructions, inspection points, and completion records. The project team must decide which work requires qualified local contractors, specialist supervision, inspection, or authority acceptance. Build the Operations and Maintenance Package

The owner should define which operating instructions, equipment manuals, cleaning or material-care information, routine inspection guidance, spare-parts information, troubleshooting boundaries, and service contacts are required. Organize files by unit and system so an operator can find the applicable instruction without searching through supplier emails.

Record the document version at handover. If the supplier updates a manual or drawing after an accepted change, the register should show the replacement and the superseded version. Include Commissioning, Training, and Acceptance Records

Where the contract includes commissioning, define the planned checks, responsible parties, required instruments or evidence, witness points, result format, and exception process. Do not use a generic “tested” statement when the owner expects a specific check or record.

Training records can identify the topic, equipment, instructor, participants, date, materials issued, and unresolved questions. Acceptance should also record open items, assigned owners, due dates, and whether each item prevents use or can be closed after handover. Check Completeness Before Final Acceptance

Review the register line by line. Confirm the correct revision opens, the file is readable, links are not temporary, required signatures or issue statuses are present, and each document applies to the delivered scope. Store the accepted package in an owner-controlled location with access rules and backups.
